Affiliate Meeting Space
Any activity, event, or meeting held during the TCT 2023 conference that is targeted toward or includes any participants of TCT is considered an affiliated activity and must be approved by the Cardiovascular Research Foundation (CRF), the official sponsor of TCT. Companies will have three options for conducting meetings during TCT.
CRF will offer a number of private rooms at key hotels for companies to conduct affiliated meetings. Companies may also hold meetings at hotels that are not on the official list, but are required to be approved by CRF. Meeting rooms are available to exhibiting and non-exhibiting companies.
Meeting Blackout Times
Affiliated activities may not be held during the following times (times are subject to change):
- Tuesday, October 24, 2023: 6:30 AM-8:00 PM*
- Wednesday, October 25, 2023: 6:30 AM-8:00 PM*
- Thursday, October 26, 2023: 6:30 AM-6:00 PM
*Meetings occurring during blackout hours of 6:30PM-8:00PM on Tuesday, October 24th and Wednesday, October 25th may be approved for a fee of $15,000 in addition to room rental fees
Official Hotel Affiliates
Please fill out the following application to secure an official hotel affiliated meeting room. One application for each meeting must be completed. Applications with more than one meeting listed will not be accepted and may delay the application process. Affiliated activity decisions will be e-mailed approximately 1 week after submission.

Official affiliate meeting rooms will be available for rental at the following hotels:
- Marriott Marquis - 780 Mission St, San Francisco, CA 94103
- Intercontinental - 888 Howard St, San Francisco, CA 94103
- Hyatt Regency SOMA - 50 3rd St, San Francisco, CA 94103
- Galleria Park Hotel - 191 Sutter St, San Francisco, CA 94104
- Hotel Abri - 127 Ellis St, San Francisco, CA 94102
Meeting space is limited and will be assigned on a first-come, first-served basis. After a meeting space is released to the affiliate, the organization must work directly with the hotel/venue to make arrangements pertaining to the proposed meeting.
Room Rental Fees:
- $3,000 - for meetings up to four hours per day
- $6,000 - for meetings more than four hours
Official Hotel Affiliate Meeting Room Policies:
- The above fees include room rental and set-up.
- Catering and A/V are additional costs and will be paid directly to the appropriate vendor.
- The sponsor of the affiliated meeting is liable for any injuries or accidents to people or property while conducting ancillary functions.
- Signage for the affiliated activity is only permitted directly outside of the assigned meeting room. Directional signs, advertisements, banners, etc., are not permitted in the hotel lobby or the convention center.

What are blackout times?
- Blackout times are specific times where affiliate meetings cannot take place. The blackout times for TCT are listed below:
- Tuesday, October 24, 2023: 6:30 AM-8:00 PM*

I would like my meeting to take place during blackout times. What are my options?
- Companies who are interested in conducting meetings during blackout times may purchase a conference suite. More information can be found here.
What types of activities are approved?
- Activities that support and are consistent with the scientific nature of TCT
- Activities directed to TCT participants (affiliated activity sponsors and participants must be TCT registrants)
- Activities that do not conflict with or detract from the official TCT scientific program (see blacked out times below)
What types of meetings are approved?
- Scientific Advisory Board Meetings
- Scientific Investigator Meetings
- Advisory Board Meetings
- Committee Meetings
- Executive Meetings
- Specific Study (Investigator) Meetings
- Staff Meetings
What types of activities are NOT permitted?
- Scientific, educational, speaker-driven symposia or lectures not sponsored by TCT
- Exhibits (commercial company and noncommercial company)
- Distribution of any promotional material (eg, fliers, room drops)
- Commercial banners
Are personnel meetings permitted during TCT hours?
Personnel meetings may be held at any time during TCT if attendance is limited to that organization’s representatives. Physician attendees are strictly prohibited from participating in these meetings. Violations of TCT Affiliated Activities Rules and Guidelines will be reviewed and sanctions may be applied. Please see the Consequences for Noncompliance section for more information.
Important note: CRF requests that TCT faculty not commit to conflicting speaking engagements. TCT faculty responsibilities and obligations to the official program take precedence over all others speaking arrangements at the meeting. TCT faculty members participating in any such event are subject to having their faculty status revoked including any reimbursement of expenses otherwise authorized.
Will I get access to other TCT opportunities?
Access to TCT approved promotional opportunities and attendee list is not permitted for promotion of affiliated activities.
Consequences for Noncompliance
If an affiliated activity is found to have violated the above guidelines for affiliated activities, the sponsoring organization, the supporting organization, and the organizer of the meeting may be prohibited from holding an affiliated activity at future CRF conferences, may have their current registration revoked, non-compliance may be subject to fines and damages, and could negatively impact the registration/status/attendance of those attending an unapproved affiliated activity. TCT faculty members participating in any such event are subject to having their faculty status revoked including any reimbursement of expenses otherwise authorized.
