Cancellation Policy
TCT Cancellation Policy
In the event that TCT 2023 is abbreviated or canceled because of circumstances beyond CRF’s control, including but not limited to civil disturbance; earthquake; electrical outage; explosion; fire; freight embargo; strike or labor unrest; flood, hurricane, tornado, or other acts of God; or an act of war, terrorism, any government (de facto or de jure), or any government agency or official, CRF reserves the right, at CRF’s sole discretion, to unilaterally terminate the agreement between CRF and the industry partner that is entered into and/or the license that is granted by virtue of the submission of this digital prospectus and its acceptance by CRF. In these circumstances, the industry company expressly agrees to waive any claim the exhibitor may have against the CRF, including but not limited to those for fees paid by or on behalf of the industry company for booth spaces, registration, training pavilions, satellite programs, engagement hubs, networking receptions, advertising, promotional opportunities, food and beverage, grants, audiovisual services, signage, housing, and travel.
Terms and Conditions
All applications and letters of agreement (LOA) are a binding contract when signed and submitted to CRF and indicates the applicant’s willingness to abide by all contract terms, conditions, and general rules and regulations listed in this digital prospectus, as well as such additional rules and regulations that CRF deems necessary to ensure the success of TCT. These terms and conditions may be amended at any time by CRF and all amendments, upon publication, shall be equally binding on all parties affected by them as the original regulations. The signer of the application also agrees to share the terms and conditions with all industry company representatives who attend TCT.
Sponsoring companies that cancel their submitted opportunity for satellite programs, engagement hubs, training pavilions, and sponsorships will pay 100% of the total cost as indicated above.
Exhibitor of Reduction
Receipt of a signed Booth Space Contract is a commitment to exhibit at TCT. Therefore, notification of booth space cancellation or reduction must be submitted in writing on company letterhead to CRF, and exhibitors are required to pay appropriate fees or cancellation penalties. Exhibitors that cancel or reduce booth space will pay the following fees:
- For cancellation or reduction of booth space on or before May 26, 2023, the exhibitor will pay 50% of the total booth fee
- For cancellation or reduction of booth space after May 26, 2023, the exhibitor will pay 100% of the total booth fee
If a company reduces, increases, or cancels their exhibit booth at TCT 2023 the registration badge allowance will be reduced, increased, or forfeited respectively.
Exhibitors that reduce their booth size after May 26, 2023, will be financially responsible for the cost of carpeting and creating lounge areas of the square footage not used due to the reduction in the booth size and will be subject to booth relocation.
Badges are required for admission to TCT. CRF will issue one badge type for all exhibitors, regardless of role at the meeting: Exhibitor Full Access. We understand that many of the badges are for support staff who are not attending educational sessions. Thus, we have generously increased the badge-allotment with the purchase of exhibit space, engagement hub, or training session. If you need additional badges beyond the allotted number, you may purchase them via the registration process. Companies will not be reimbursed for any unused badges and/or will be required to supplement any badge costs not fully covered by the allowance provided. If a company reduces, increases, or cancels its participation at TCT 2023, the registration badge allowance will be reduced, increased, or forfeited respectively.

CRF Badge-Sharing Notice
Each person attending a Cardiovascular Research Foundation (“CRF”) sponsored/managed meeting, symposia, program, event, etc. (“Event”) will be issued an Event-specific badge bearing that person’s name and she or he must have the badge bearing that person’s name in her or his possession at all times while on the premises at which the Event is taking place. THE SWAPPING, SHARING, OR LENDING OF AN EVENT BADGE TO ANY OTHER PERSON IS STRICTLY PROHIBITED. Anyone found to be wearing a badge that does not bear that person’s name will have the badge immediately confiscated and will be escorted from the premises. Additionally, the attendance privileges of the person whose name appears on the confiscated badge will be revoked and that person will also be escorted from the premises. No replacement badges will be provided, and no refunds will be made, in whole or in part, for confiscated badges.
Violators of this policy - the person to whom the badge was issued, the person found to be in possession of the badge, and where appropriate the company that purchased the badge - may also be banned from attending or participating at any future Event. Additionally, in instances where an exhibiting company is found to have violated this policy, the exhibiting company will be penalized with a reduction in priority points. In cases where CRF is willing to permit a person found to be in violation of this policy to once again have access to the Event, the person or the exhibiting company, as applicable, will be required to re-register and charged the full cost of the additional registration. All decisions regarding compliance with or violation of this policy will be made by CRF in CRF’s sole and exclusive discretion.
The official housing vendor for TCT 2023 is OnPeak. For TCT 2023, confirmed exhibitors' housing will be assigned based on one of two housing categories: Priority Points Housing or General Exhibitor Housing. Please note that exhibiting companies in the Book Publishers, Societies, and Nonprofits area and companies that have secured an exhibit booth through a trade agreement with CRF are not eligible to participate in priority points-based housing and will be able to secure housing through General Exhibitor Housing.
